Concern

Hi All

I would appreciate if someone could help me.

I am very new ODK user, I have set up through google App Engine and google API to publish the data to google spread sheet. then I connected to Tableau software to data visualization/analysis.

  1. Do I have to pay for based on my previous steps. such as ODK, Google App engine and API ..Etc? or those are free?

  2. Once I publish the data to Google Spreadsheet, The data is not coming with full spelling it comes like (Water_source_in_..) I need to edit spelling in this way.

  3. What is the storage capacity in ODK and Google spreadsheet while I have a form including 10 columns only three of them are numeric others are text/choices.

  4. When I open my URL(http:://xxxxxxx.appspot.com) the data will be appeared before signing in.

  5. How many enumerators are limited to collect the data?

I apologize if my questions are very simple but for your kind consideration I am very new user, I need to know these things before starting data collection in the field, I will be grateful if have further idea to mention

(1) Everything is free. However, Google AppEngine has daily usage quotas.
If you exceed those quotas, then you have to pay, or wait for the next day
(after the usage counters are reset).

(2) the data columns are labelled with the field names from your form, not
"display names". I forget whether these must remain the same or can be
edited. You should verify that submissions still appear as expected after
you edit these column names. Similarly, if you re-order the columns in the
sheet, you should test to make sure new submissions appear as expected.

(3) Storage only becomes an issue when you have images, or audio or video
captures. ODK Aggregate's "Export to CSV" and "Export to KML" options
require that all the collected data be held in memory. But those are the
only actions with that requirement. All other actions only work on 100 or
fewer submissions at a time. If you have dozens of forms on a server, or
surveys with dozens of repeats, you might need to increase memory, as all
form definitions are held in memory. For nearly all users, storage is in
the low-megabyte range and doesn't factor into costs. The server size can
be increased to accommodate use of the export commands or having dozens of
form definitions (but at some point, these will exceed the size of a

(4) You can sign in to restrict access to your server. See
https://opendatakit.org/use/aggregate/#Using_the_Application -- in
particular, steps 7-10.

(5) There are no limits to the number of devices that can submit data.

-We have daily record submission with several forms excluding pictures/audio/Video , maximum we might have about 150,000 records. does make storage issue in Google spreadsheet and/or Google App engine?!! in addition, the same plan does need payment to google app engine? your kind advise will highly be appreciated

Regarding storage I would store data in place and removing it google spreadsheet as per 10,000 records.
In addition, not well understood the daily usage is due to what. For example

Sorry for previous replied happened automatically, regarding daily usage what exactly considered as usage , I dont need to open ODK aggregate once i published to google spreadsheet. also data collection is offline once they collected then they will submit forms. I need to know what exactly consider as google app usage.

I meant moving data from google spreadsheet to my own access database/Excel sheet then removing it in google spreadsheet. is that possible ?

You will need to set up billing. The billing configuration requires that
you specify a maximum daily usage limit. Start with a low value (e.g., $2 /
day) and see how that works. If users complain that they cannot submit
their data and the Google Cloud Platform management console reports that
you have reached the daily usage limit, increase it. $2 is probably
adequate for all but the very largest efforts. And see the cost link in the
previous e-mail for ways to reduce your usage (e.g., avoid viewing
data-submission activity on the ODK Aggregate submissions page).

A 150,000-submission dataset is too big to publish into Google Sheets, but
it is perfect for Fusion Tables.

The documentation here ( https://support.google.com/drive/answer/37603
) says there is a 2,000,000 cell limit on the size of a Google Sheets
document
That is too small for your dataset (2,000,000 cells / 150,000 submissions =
13 fields (including metadata fields) per survey!).

Fusion Tables, to my knowledge, has no limitation on the number of rows. If
you are selecting a subset for a geographic dataset, the queries to
construct those will be limited to the first 350,000 matching rows (
https://developers.google.com/fusiontables/docs/v2/using#geolimits ) but,
for all other queries, you will process all rows.

Yes. ODK Aggregate only appends to Google Sheets.
Removing earlier rows in the document should not affect anything, though I
do not know what happens if a submission is being appended to the document
at the exact same time that you delete a row.

ODK Briefcase can pull data down to your computer from ODK Aggregate, and
you can then export that to a CSV. No need to publish up to Google Sheets
if all you want is a local csv file of your data.

Do a trial run.

We can't give you an exact $ amount.

One of the great things about the ODK tools is that they change
data-collection efforts by allowing organizations to quickly run a
100-response trial, and test whether the collected data can be analyzed, or
if key questions are missing.

Do that. Note what the $ charge is.

Either you will have the budget to use ODK tools, or you will not.

If you don't, then you have to find the manpower or money to transcribe
paper forms.

Your choice.

And, again, data storage for 150,000 forms that contain no image, audio or
video attachments is not where the $ costs are.
I'd be surprised if you see any charges for storage.

If you are concerned about $ expenses, then do not delete or purge any
submissions or forms. Deletion is very expensive. At the end of the survey,
cancel your billing and delete the entire project from Google Cloud
Platform -- let Google deal with releasing the storage.
