Preloading data - how do I implement follow up visits?

Dear Opendatakit and Formhub users!
(my apologies for cross posting)

I have a study that is running for a year and I am collecting data at
baseline, 3 months assessment and 9 months assessment, my questionnaire
consist of 6 different tools. I am using ODK Collect and ona.io

At 3 months and 9 months assessment 5 of the tools are administered again.
(The first tool is the social demographic questionnaire (non repeating) and
the repeating 5 tools are used as out come measures)

I want to use the preloading feature at 3 and 9 months assessment and have
been reading [1] and [2] and also closely followed [3]

I am failing to figure out how to implement preloading for my questionnaire
in a way such that the end of the year when I export data my statistician
(as if I own one) will be able to see all the 6 tools data at baseline, the
3 and 9 months assessment in one file.

Additionally every time I preload data, I want to preload all the
collected information from the previous survey (including social
demographic data) and the 3 or 9 months assessment data.

Is this possible? is this the right way of implementing follow up visits

I am also interested in knowing how are others implementing follow up
visits?

If you just want to have a panel data set ("my statistician (as if I own
one) will be able to see all the 6 tools data at baseline, the 3 and 9
months assessment in one file."), then I think you should do this in a
statistical software application, Stata for instance. It's super easy.
However, if you want baseline data to be preloaded so that followup visits
don't start from a blank form, then it's important to figure out. One way
is to follow ODK's approach, which you have cited. At RTA where I work with
a large team of developers, we have another solution that even allows you
to preload an instance to a specific tablet. If you're interested in
finding out I can arrange a demo session to you via Skype.

CommcareHQ.org may be a better tool for your study. The feature you're looking for is called "Case Sharing" They offer a free community account up to 50 mobile users, but note that you need a Pro account if you want to use CloudCare with case sharing.

If you just want to have a panel data set

participants ID's so that the statistician (she uses Stata) can link the
different files using the Participant ID

It's super easy. However, if you want baseline data to be preloaded so

Thanks for the pointer. I did consider commcarehq, I am working on a
temporary solution, the client has contracted someone to develop the
solution.
